1. About this policy

ALINEDS LLC d/b/a ALINEDS DEFENSE LLC (“ALINEDS DEFENSE,” “we,” “us,” or “our”) provides O2F (Order to Fulfill), an order-to-fulfill management platform for government contractors and defense suppliers.

This Privacy Policy explains how we collect, use, disclose, and retain personal information through our website, communications, and the O2F service.

For privacy questions or requests, contact info@a-defense.com.

2. Our role and your organization’s role

We manage personal information used to operate our business, including information about website visitors, prospective customers, account contacts, and billing contacts.

When an organization uses O2F, it determines what business records to enter and how to use them. We process personal information within those records on that organization’s behalf to provide and support the service, subject to our agreement with it.

If your information was provided by an organization using O2F, that organization’s policies may also apply. Requests concerning its records should generally be directed to that organization. We will assist it with requests as appropriate.

3. Information we collect

Information you provide directly

When you contact us, request a demonstration, or communicate with support, we may collect:

  • Your name, business email address, company, and other contact details you provide.
  • Your questions, correspondence, and information about your organization’s needs.
  • Information you choose to provide when requesting assistance.

Account and service information

When your organization uses O2F, we process:

  • User names, email addresses, roles, departments, and account status.
  • Business records entered or uploaded into O2F, including awards, orders, suppliers, quotes, purchase orders, receipts, inspections, shipments, invoices, and supporting files.
  • Names and contact details contained in those records.
  • Activity records, including audit events, notifications, and information used to operate and secure the service.

Billing information

We process billing contacts, subscription details, invoices, and payment status.

Payment card details are entered on Stripe’s checkout or billing pages. O2F does not receive or store your full payment card number. Stripe processes payment information under its own privacy policy.

Website technical information

Our hosting provider processes technical information, such as IP addresses and browser details, to deliver website pages and maintain their operation and security.

The public O2F website does not currently use advertising, analytics, or tracking cookies and does not collect information through website forms. Demo requests are made by email.

4. How we use information

We use personal information to:

  • Provide, administer, and support O2F.
  • Create and manage accounts, permissions, and subscriptions.
  • Process customer records and carry out authorized service functions.
  • Send invitations, service notices, task notifications, and delivery reminders.
  • Respond to questions, support requests, and demonstration inquiries.
  • Manage billing and subscription payments.
  • Maintain service security, investigate problems, and prevent misuse.
  • Comply with applicable legal obligations and enforce our agreements.

We do not sell personal information or share it for targeted advertising.

5. How we disclose information

We disclose personal information only as needed for the purposes described in this policy, including:

Within your organization

Authorized users may access information according to their roles, department assignments, and your organization’s configuration. Your organization’s administrators manage user access.

Service providers

We use providers that help us operate O2F, including:

  • Amazon Web Services: hosting, infrastructure, authentication through Amazon Cognito, and service email delivery through Amazon SES.
  • Stripe: subscription billing and payment processing.

These providers receive information needed to perform their services. Their processing may also be governed by their own privacy policies and our agreements with them.

Legal and security purposes

We may disclose information when reasonably necessary to comply with applicable law or a valid legal request, enforce our agreements, investigate misuse, or protect the rights, safety, or security of our customers, users, or business.

Business transactions

Information may be disclosed as part of a proposed or completed merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate confidentiality protections and applicable law.

At your direction

We may disclose information when you or your organization authorizes or directs us to do so.

6. Where information is processed

O2F is hosted on Amazon Web Services in the United States, in the US East (N. Virginia) region.

Our service providers may process certain information in other locations as part of delivering their services. If you access O2F from outside the United States, your information may be processed in a country with different data-protection laws.

Where applicable law requires safeguards for international transfers, we will use the safeguards required for the relevant processing.

7. How long we retain information

We retain personal information for the purposes described in this policy, taking into account our customer agreements, legal obligations, security needs, and the nature of the information.

Our retention schedule is:

InformationRetention period
Customer business records and associated account informationDuring the subscription, subject to the customer agreement and authorized deletion requests.
Customer records after the subscription endsA 30-day period to request an available export, followed by deletion from active systems within 90 days after the subscription ends, unless the customer agreement provides otherwise.
Demo inquiries and prospective-customer correspondenceUp to 24 months after the last substantive interaction, unless a customer relationship begins or continued retention is otherwise necessary.
Operational and security logsGenerally up to 12 months, unless needed longer to investigate an incident, resolve a dispute, or meet a legal obligation.
Billing and transaction recordsGenerally seven years after the relevant transaction, subject to applicable recordkeeping requirements.

Customer audit records form part of the customer’s service records and follow the applicable customer-data retention arrangements.

Deleted information may remain temporarily in protected backups until those backups expire under the applicable backup schedule. Backup copies are not used for ordinary business operations.

We may retain information longer when necessary to meet legal obligations, preserve evidence, resolve disputes, or enforce agreements. We restrict its use to the purpose requiring continued retention.

8. Security

We use technical and organizational measures designed to protect personal information. Current O2F controls include organization-level data isolation, role-based access, encryption in transit and at rest, and audit logging.

Additional information is available on our Security page.

No method of transmission or storage is completely secure. Users should protect their credentials and promptly report suspected unauthorized access to info@a-defense.com.

9. Your choices and privacy rights

Depending on where you live and which laws apply, you may have rights to:

  • Request access to personal information.
  • Request correction or deletion.
  • Obtain a copy of certain information in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.
  • Appeal a decision concerning a privacy request or complain to a relevant supervisory authority.

These rights are subject to applicable conditions and exceptions.

Send requests to info@a-defense.com. We may need to verify your identity and authority before responding. We will respond within the period required by applicable law.

If the request concerns records controlled by your organization, we may refer you to its administrator or coordinate our response with that organization.

We will not discriminate against you for exercising privacy rights provided by applicable law.

10. Communications preferences

You can manage optional service notifications where O2F provides those settings.

Some communications are necessary to administer your account or provide the service, such as invitations, security notices, billing communications, and important service updates. These may continue even if you disable optional notifications.

11. Children’s privacy

O2F is a business service intended for adult users acting on behalf of organizations. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

If you believe a child has provided personal information to us, contact info@a-defense.com so we can investigate and take appropriate action.

12. Changes to this policy

We may update this Privacy Policy as our practices or legal obligations change. We will post the updated policy with a revised effective date.

For material changes, we will provide additional notice where required by applicable law.
